What “private AI” and “local AI server” actually mean
These two phrases get used loosely, so it’s worth being precise about them before anything else — because the distinction is the entire reason a business would choose this over the AI tools it already has.
AI that runs on hardware you control
Private AI is an AI system that operates on equipment your business owns, rather than on servers belonging to an outside company. When someone on your team types a question, uploads a document, or asks for a draft, the request is answered entirely inside your own network. A local AI server — also called on-premise or self-hosted AI — is the actual computer that sits on your network and does the thinking. How a private office AI actually works
Nothing exotic is happening under the hood — it’s the same idea as any office server, applied to AI instead of email or file storage.

Two things are worth being explicit about, because they’re the whole point: first, nothing about a normal day of use requires the internet — chat, document answers, scheduling, and document generation all run entirely on the local network. Second, the only things that ever reach outside your building are things you deliberately turn on: the optional web-lookup add-on (and even then, only the search words leave, never your files), the optional remote-access tunnel, and a small licence/update check that never carries any of your content.

Web Access
The box is fully offline by default. Turn on Web Access and your AI can pull in current information — prices, news, addresses — the moment a question actually needs it, citing the site it came from. Only the search words involved ever leave your building; your documents, chats, and files never do, and the box never holds a search-engine key of its own.

Remote Access
The box lives on the office network, but work doesn’t always stay there. Remote Access opens a private, end-to-end encrypted tunnel so your team can reach the office AI securely from home or the road — without opening a single port on your router or exposing the box to the public internet. Only your own signed-in devices can ever reach it.
Turn it on or off any time from your account — there’s no minimum term, and the office network keeps working normally either way.
Getting it running takes minutes, not an IT project
There are two ways to run Private Office AI, and everything below applies to both — the ready-made appliance, or software installed on a Mac or PC you already own.
Plug in, log in
Connect the included power and network cable, then open a browser on any device on the same Wi-Fi and go to the address on the setup card — its friendly .local name or its network address. The AI engines and remote-access app are already installed; there’s nothing to download.
Runs on your own machine
Download the installer from your account and run it — it checks your machine’s memory and sets itself up in a few minutes on Mac, Windows, or Linux. It needs an Apple Silicon Mac or a modern PC with at least 16 GB of memory; 32 GB or more unlocks the strongest AI engine, including reading scanned images.
First-time setup, in order
The first screen you see asks for a handful of things: a licence key (software only — the box already has one built in), your company name to brand the workspace, an optional custom web address like yourcompany.privateofficeai.com so nobody has to remember an IP address, and finally the owner’s name, email and password. The AI starts on its lightest engine so it’s usable immediately, and you can move up to a stronger one any time from Settings.
Choosing an AI engine
Think of the engine as how much thinking power you’re dialing in. Swift is quick and light, great for everyday writing and knowledge-base answers. Balanced adds stronger reasoning and is the right default for most offices. Maximum is the deepest reasoning tier, and the only one that reads images, screenshots and scanned documents. A box has every engine preloaded, so switching is instant and fully offline.
Adding your team
From the Team page, add a person by name and email — they receive a temporary password by email and choose their own on first login. You can promote someone to Administrator, reset a password, or disable access instantly if someone leaves. Two roles exist from day one — Administrator and Team member — and you can add ready-made roles like Manager, Contributor, Basic user, or Guest, or build fully custom ones by ticking exactly the permissions you want.
Backups, updates, and what happens if the power goes out
The box backs itself up roughly once a day and keeps the fourteen most recent snapshots, stored on the box itself — nothing goes to the cloud, so a mistake stays recoverable without adding a privacy risk. If the power cuts out or the box restarts, it starts your office AI back up automatically the moment it boots. Every purchase includes a full year of free software and security updates, installed automatically in the background without interrupting a live conversation; after that, an optional Care Plan keeps them coming, though the box keeps working forever either way.
If something goes wrong
Most one-off issues clear with a simple restart of the box. Can’t reach it on the network? Confirm your device is on the same Wi-Fi and try its local name or network address from Settings. An add-on you just paid for not showing as active yet? Give it a few minutes, or check for it manually from the Add-ons page. Only the Maximum engine reads images — if a screenshot isn’t being read, that’s usually why. For anything else, real people are available by email, and Care Plan customers get priority support with remote fixes.
